Program Operations Officer – Mexico City

Data-Pop Alliance is seeking a full time Project Operations Officer (OPO) based in Mexico City.

Effective dates: July – December 2019, with possibility of extension past January 2020. 2-month trial period starting by end of July.

Reporting to the Deputy Director for Latin American and the Caribbean based in Mexico, the Project Operations Officer will support Data-Pop Alliance’s work through the following key responsibilities:

The OPO provides operational and administrative assistance to the Program Staff, performs a variety of administrative, coordination and logistical services in support of the operations of the Program, and assists with information management.

Project Support / Administrative  (60%)
  • Manage all project contracts, ensuring that deliverables are on schedule and contractual obligations are met
  • Organize all calendars and schedule regular team meetings and conference calls/video-conferences with counterparts at donor institutions, often over different time zones, including the preparation and distribution of documents and providing the necessary technical devices
  • Take minutes of regular team meetings and other meetings with the assistances of and coordination with the team as required
  • Arrange travel bookings, primarily for the Director and Deputy Director, as needed
  • Coordinate with Project Leads to maintain and review all project budgets
  • Act as the main contact person during the absence of team members, following-up on any emergencies with appropriate in-house staff
  • Assist other team members in preparing and formatting documents, including PowerPoint presentations
  • Maintains a tracking system of responses to proposals
  • Assist in the orientation of new staff, interns, research fellows and consultants by providing them with the necessary documents and materials for orientation
  • Lead setup of local office in Mexico City, including locating office space and arranging contracts
  • Lead process of legal organizational incorporation in Mexico
Financial (40%)
  • Manage all project budgets and cashflow documents
  • Update budget documents and submit expense requests
  • Coordinate all project contractors including contract preparation, payments, and related reporting requirements
  • Submit and manage invoices, including contractor payments


Skills and experience required
You are / have:

Graduate with a Bachelor’s Degree in international development or relevant field
A minimum of 1-2 years relevant experience
Experience / ability to work with Excel, the Google suite; WordPress, the Adobe suite a plus
A self-starter, disciplined, driven, eager to learn, grow, and make an impact
Successful experience working in a multicultural environment with partners and people of different backgrounds and levels of seniority
Full working proficiency in English and Spanish is mandatory
