Job Opportunity: Programme Assistant

Data-Pop Alliance (DPA) is currently recruiting a Programme Assistant. We are an international nonprofit created in 2013 out of the Harvard Humanitarian Initiative (HHI), the MIT Media Lab and ODI. We bring together researchers, experts, practitioners, and activists to change the world with data through three pillars of work: diagnosing local realities and human problems with data and AI; mobilizing capacities, communities, and ideas towards more data literate societies, and transforming the systems and processes that underpin our societies and countries.

DPA has partnered with organizations such as the Inter-American Development Bank, UNDP, UN ESCWA, GIZ (German development agency), the Vodafone Institute, Oxfam México and other key international stakeholders to develop projects in Africa, Latin America and the Caribbean, the MENA region and Asia. Starting Date: Immediate 

Location: Preferably within UTC-1 to UTC+3 time zones (Africa, Europe, Middle East)

Work modality: Remote

Contract: 3 month-period trial, with possibility for extension.

Scope of Work

The Programme Assistant will provide administrative support to the directors and project managers of Data-Pop Alliance. The Programme Assistant will provide clerical support, schedule meetings, and organize the calendars, among other tasks. Amongst others, primary activities for the Programme Assistant include:

  • Assist the Director and Research Director in particular with scheduling and daily communications.

  • Prepare and disseminate meeting agendas with both internal and external participants. 

  • Attend meetings with the directors and project managers as needed, keeping detailed records and sharing relevant information within the larger team.

  • Ensure that key tasks and processes are completed in a timely manner by providing the Director with top priorities of the day and week ahead and following up as needed to ensure completion of key tasks.

  • Support administrative team with invoices, time tracking, contract preparation, and other relevant documentation as required.

  • Manage travel arrangements, including booking and logistics, for the Director and other staff.

  • Support in creating presentations and other documents for meetings and external partners, in collaboration with the design and communications team.

  • Communicate actively with the DPA team at large, keeping close track of conversations on Slack and Asana, among others. 

  • Contribute research as needed on relevant events, meetings, or conferences that may be relevant to DPA.

  • Other tasks and duties as required

Standard Minimum Qualifications

  • Experienced assistant with at least 2-5 years of relevant professional experience.  

  • Fluent in English (with excellent writing and communication skills). Working proficiency or more in French and / or Spanish are highly desirable.

Desired Profile

  • Proven organizational skills, including a capacity to propose and implement new protocols to improve team efficiency.

  • Exceptional professionalism, discretion, and sensitivity with regards to personal or private information. 

  • Demonstrated ability to manage high volumes of information while maintaining attention to detail.

  • Ability to work independently, as well as at the direction of others.

  • Advanced knowledge of the Google Suite (Gmail, Docs, Calendars, etc) and the Microsoft Suite (Word, Excel, etc). Familiarity with Slack, Asana, Teams is a plus.

  • Proven ability to work in high paced diverse work environments.

  • Proven ability to engage with senior public officials.

  • Experience working with grants and managing donors.

  • High interpersonal, communication, solving-problem, risk-assessment and adaptability skills.

  • Bachelor’s Degree in administration, communications, business, or similar discipline. 

  • Experience in the development or data science sectors is a plus.

Remuneration 

Competitive, based on experience.
